Church Administrator (Part-Time)
Westminster Presbyterian Church – Scarborough
Westminster Presbyterian Church is seeking a part-time Church Administrator to support the ministry, operations, and daily administration of the church. This role is essential in ensuring the smooth functioning of church life and supporting worship, communication, and facility coordination.
Position Details
- Hours: 20 hours per week (4 hours per day or as agreed)
- Location: On-site (in-office required every Thursday and Friday)
- Reports to: Personnel Committee; accountable to the Session
- Direction from: Minister and Supply Ministers.
- Compensation: Reviewed annually and approved at the Church AGM. (Annual General Meeting)
- Start Date: TBD
This position is subject to The Presbyterian Church in Canada’s “Leading with Care” policy, including a police background check.
Key Responsibilities
- Provide administrative support to the Minister and church leadership
- Manage phone calls, emails, mail, and visitor inquiries
- Maintain church records, databases (Servant Keeper), calendars, and filing systems
- Prepare weekly bulletins, worship materials, announcements, and PowerPoint presentations
- Update and maintain the church website (WordPress)
- Prepare accounts payable, cheques, and online payments (QuickBooks/RBC)
- Coordinate facility bookings, rentals, and special events (weddings, funerals, baptisms)
- Liaise with Walton Place and Isabella Walton Childcare regarding shared facilities
- Assist with the preparation of Annual Reports, AGM materials, and meeting minutes
- Ensure office supplies, church materials, and special service resources are stocked
- Coordinate with vendors and maintenance services in consultation with Property & Finance
Qualifications & Skills
- Minimum age: 18 years
- Experience in office administration (church or nonprofit experience an asset)
- Comfortable working in a faith-based environment
- Strong organizational, communication, and time-management skills
- High level of confidentiality and professionalism
- Proficiency in Microsoft Office, QuickBooks, PowerPoint, Canva, WordPress, and database systems
- Willingness to comply with the Leading with Care policy requirements
